Policy Summary

This policy describes the function and operation of the Berkeley Lab Guest House, a 57-room hotel located on the Berkeley Lab site (Building 23), owned by the University of California, operated under a University of California contract, and managed by the Guest House Operating Committee (GHOC).

POLICY

A. Purpose

This policy describes the function and operation of the Berkeley Lab Guest House.

B. Persons Affected

Persons who need overnight lodging while conducting business with Berkeley Lab, UC Berkeley, or other UCOP entities.

C. Exceptions

None

D. Policy Statement

1. Eligible Visitors
   1. Eligible visitors include individuals or groups who have business with Berkeley Lab, DOE, UC Berkeley, or other UCOP entities
   2. All visitors must provide host information at the time of making a reservation.
   3. Pets are not permitted.
   4. Children under 18 years of age are permitted with advanced approval from the LBNL Fleet and Contracted Services Manager.
2. Check-in
   1. Check-in time is at or after 3 p.m., and the registration desk is open 24 hours each day.
   2. Accepted payment methods include: Visa, MasterCard, Discover, American Express, company checks, and direct billing (for established accounts only). Checks must be made out to "UC Regents."
3. Check-out
   1. Check-out time is by 12 p.m.
   2. Vehicles and luggage may be left at the facility beyond check-out time based on storage space and parking availability.
4. Cancellation. Reservation cancellations must be received at least 24 hours prior to the scheduled arrival date to avoid a one-night room charge.
5. General
   1. The Guest House is a smoke-free facility.
   2. Packages and material related to work are not accepted for delivery at the Guest House and must be sent to the department hosting the visitor's stay.
   3. Daily mail service is provided Monday through Friday.
   4. Guests must adhere to all Guest House and LBNL policies. A list of guidelines is provided to all guests at check-in.

E. Roles and Responsibilities

Managers, supervisors, and employees have the responsibility to adhere to the provisions of this policy.
