To ensure the security of the account and platform, all LBL.gov users are encouraged to use a passcode when scheduling meetings.



Overview

  • IT recommends using at least one of the following security measures for all zoom meetings/webinars 

    1. Passcode

    2. Waiting Room

    3. Authentication Required



What does this mean?

The passcode option is enabled by default. To adjust account settings, follow these instructions:

  

  • Go to zoom.lbl.gov and click "My Account" in the upper right corner to view your Zoom account profile




  • Go to "Settings" in the left navigation pane




  • In the "Meeting" settings tab, scroll down and turn on the "Require a password" option for PMI, when scheduling new meetings, instant meetings AND embed password in invite for one-click join

  • There are a total of 4 options that you need to enable



  • Click the slider icon to enable the features. The white dot appears on the right side in the ON position.




Individual users can enable or disable passwords for upcoming or previously scheduled meetings within their zoom.lbl.gov account settings page.



How to Add Passwords to New Zoom Meetings


  • Check the box next to "Require meeting password" when scheduling new meetings.

  • The box will remain permanently checked after May 30, 2020.

 


How to Find the Password to a Previously Scheduled Meeting


  • Go to zoom.lbl.gov and click "My Profile" in the upper right corner to view your Zoom account profile.



  • You will notice a red exclamation point next to "denotes no password" meetings.

  • Click the title of a meeting from the "Upcoming Meetings" or "Previous Meetings" tab.





  • Now click the "Edit this Meeting" box in the lower right corner.


  • Scroll down to "Meeting Password" to view or edit the zoom meeting password.


  • Click the "Save" button at the bottom of the page. 





Update Google Calendar with new Zoom details


  • Now that you have updated the Zoom meeting with a password, click "Copy Invitation" in the lower right corner.





  • Open Google Calendar and "edit event" by clicking the pencil icon.




First, paste the updated Zoom invite details into the main description field below.

Then, copy and paste the new link (with embedded password) into the "Add location" field.



  • Click "Save" in the upper right corner when finished.
  • Attendees can now click the link in Google calendar to join the zoom meeting without entering the password.
