What do I do once I have been assigned a Business Plan License?

Once you have been assigned a license, you will receive an email invitation from Smartsheet, until you approve the license your sheets will be read-only.

Why would I need to upgrade to the Business Plan?

You would need to upgrade to the Business Plan if you plan on owning sheets, creating sheets, or if you need access to Smartsheet features such as the dashboard, activity log, charts and graphs, automation, etc.  (Comparison of Plans).

Do I need a license to edit sheets?

No, you do not need a license to edit the data in the sheets that have been shared with you.  You only need a license to own and create new sheets. However, as an unlicensed user, you will not be able to edit the structure of the sheet, for instance, modifying columns.

Do I need a license to add attachments?

No, you do not need license to add attachments. Anyone who has been shared the sheet or workspace (Viewer, Editor, Admin) can view and download the attachments. Everyone except Viewers will be able to add, edit, or delete attachments.

Will I lose access to my sheets if I don't buy a Business Plan License?

No, you will not lose access to the sheets you created or to sheets shared with you by other users.  However, your sheets will be migrated to an institutional account unless you made previous arrangements to move your sheets to another user.

I shared sheets to other Smartsheet users, will they lose access to my sheets if they don't upgrade to the Business Plan?

No, users that have access to your sheets will continue to have access to them even if they are unlicensed users.

How do I reduce the number of sheets I own?

You can scale back the number of sheets you own by deleting sheets you no longer use or changing the owner of the sheets to another licenses user to keep the owned count at less than 50 sheets. If your sheets do not use the project management features found in Smartsheet, we recommend exporting your sheets to Google Sheets.

What is the Berkeley Lab Smartsheet institutional account?

This account is managed by LBL and is used to store sheets from exstaff and sheets from users who do not have a license.

  • Apply custom colors and upload a logo to Smartsheet. The color settings and logo branding that you apply will be displayed in the application, as well as in email messages sent out from Smartsheet.
